Classes, Camps, Field Trips and Special Events versus Weekly Schedules. Which one is more suitable?

The question here is that which of the 2 methods – weekly scheduling or classes, camps and field trips – is better in the different scenarios.

Scenario 1 – Summer Extended Day Program: This scenario fits the Weekly Scheduling method better:

Description: When students enroll in the Summer Extended Day program, they enroll for an 11-week session.  However, during that 11-weeks period, the students may drop out.  As students drop out, other students may enroll in their place.  Therefore, we may have students attending less than the 11-week period.

Discussion: This scenario fits the weekly scheduling method better because:

  • Weekly billing can be automated
  • Children’s schedule can be terminated at any time
  • Weekly schedules report will show slot availabilities week by week
  • Historical auditing will be available for any period in the past
  • If the classes and camps method is used then to do scheduling at a fine level you will have to create 11 classes, each representing a week of the summer.

Scenario 2 – Field Trips: Field trips are stand-alone events, which are best handled through the Classes, Camps and Field Trips method.

Using the Account Register to directly bill for special events and field trips will be easier however you will have lesser control on the process. For example, to know how many children have signed up for a specific field trip you will have to filter for that event on the TypeOfAcitivity field in the Current Statement.

On the other hand, the Classes, Camps and Field Trips method, provide better reporting and control on this process.

You can use the RSVP feature of the Lobby Interface to ask parents if they want the children to participate.

Scenario 3 – Classes: Extra-curricular activities such as say a dance class, music class or language class, would best be handled through the Classes, Camps and Field Trips method. Same discussion as above for field trips applies.
