Setting Up Your Center
All the features for setting up the iCare software are in the System Configuration Menu. Below is a list of some basic setup options that you should complete.
Center Operations Setup
1. Go to the System Configuration Menu.
2. Select Center Setup.
3. Select Center Operations.
4. Enter the following information. To enter each type of information, click on Edit Data. Enter the changes.
§ Open/Close/Peak Time tab: This information sets various timers and for calculations in certain reports. Enter the SystemDayEnding Time; this is the time at which the daily Day Ending Process is run. This also lets you change the password to shut down the Lobby Interface.
§ Billing (Auto Batch Processing) tab: This information is used by the system to run the billing automation.
§ General Information tab: Enter the center identification information. This information shows in report printouts.
§ Center Default Meal Time tab: Set the meal timings for up to six meals for each program. The meal times are used for making the meal count report based on attendance. Also set whether the meal count is based on actual servings or attendance and the number of meals allowed for CACFP reimbursement calculation.
§ Shift Information tab: Set the number of employee shifts and the times. Also, whether to do prepaid hours validation in the Lobby Interface.
5. Click on Accept Edit.
Programs and Classroom Setup
1. Go to the System Configuration Menu.
2. Select Center Setup.
3. Select Programs and Classrooms Setup.
4. Select Programs and Classroom Structure. For each program do the following:
5. Click on Start New Entry.
6. Enter at least the yellow boxes.
7. Click Accept This Entry.
8. Repeat the above for each program you have.
