Effortless Attendance Management

You can manage attendance either through manual entry or automatically by letting the parents check-in and out using one of iCare’s Lobby Interface options like:

  • Computer or touch-screen monitor in your lobby
  • Keypad
  • Swipe cards & barcode scanner
  • Fingerprint reader
  • Electronic signature capture

You can also receive instant feedback from parents by sending questions to parents with yes/no or multiple choice responses. iCare can bill automatically based on the responses parents give. For more info, see Check-In Solutions.

Billing and Payment Entry

You can bill families and process payments on the spot. iCare posts charges based on attendance data automatically. If you use Accelerated Payment Processing, you can process electronic payments (credit cards and checks) instantly. You can also enter payments manually in iCare. Either way, transactions get posted to the ledger automatically, keeping the account balance up-to-date and accurate.

Flexible Billing

Drop-in centers have You have the flexibility to use one or a combination of the available rate charts:

  • Multi-child family or sibling discounts
  • Specific rates based on program, class, or age
  • Maximum billable amounts
  • Rates based on specific hours of the week (e.g. Friday evening discount)
  • Coupons, discounts, gift cards, etc.
  • Pre-paid hours and money packages
  • Rates for blocks of hours or days

Cashier and Cash Drawer Management

A cash drawer reconciliation process is included with the Drop-in Manager. This lets you:

  • Initiate a cash drawer at the start of a shift
  • Have multiple cashiers’ ledgers behave independently or as one
  • Close a drawer at end of shift
  • Perform daily or weekly reconciliation

Pre-paid Packages, Coupons and Gift Certificates

Handle pre-paid packages, coupons, and gift cards. The Drop-in Manager is set up for:

  • Selling packages, coupons and gift certificates
  • Automatic rate adjustment, discounting or handling credits
  • Package expirations
  • Prorated rate calculation when a package ends
