 | Some of the automated batch processes for billing take payer information from the data you fill in the Fee and Schedule form. If the child's payer information is not set then the batch processes may leaves blanks in some of the transactions.
To remove these incomplete transactions you can run the program, RemoveBlankEntriesFromRL.exe, from your C:\DCMS9003\Bin. If this program is not available at this location then you can download it from www.Orgamation.com/ServicePacks.

| I have a PDA how do I link my PDA to iCare? |
 | If you are looking for importing the children or staff list into your PDA then see the notes below. Otherwise if you want to use the PDA for attendance entry, checking in and checking out, for children then refer to our product named iCarePDA.
For importing children or staff list into your PDA:
- In iCare open a children's or staff list report that has the type of information you are looking for. For example, for a simple list of active children in your database, open the Children's Classroom Enrollment List.
- Click on the Excel button in the top of the report form. All the data of the report will be exported to Excel.
- In Excel remove all the rows and columns that you don't want to import into the PDA.
- Save the Excel file by any name in any location you want. Suggested location is DCMS9003\Reports.
- Use the HotSync or file copy method of your PDA to get the data in the Excel file. Most PDA are compatible with Excel.

 | Here are keyboard shortcut keys for moving from column to column or row to row in the data entry grids:
- To move cursor to next column press enter key
- Press Alt key to activate the Date Picker or Drop-down box if it is not visible
- Press enter to deactivate the Date Picker or Drop-down box
- Press left arrow key to move cursor to previous column if the Date Picker or Drop-down box is already deactivated
These shortcuts apply to the following data entry form:
- Multiple payment entry
- Edit all attendance
- Meals served

| How can I get children's list with birthdays in the month? |
 | Open the Children's Classroom Enrollment List report. It has column named, BirthMonth. Sort or filter the report on this column to get children's names with birthdays in that month.

| I see that bi-weekly billing is automated in iCare. How can I do bi-monthly billing? |
 | You can do bi-monthly billing (for example, on the 1st and 15th of the month) using the Billing Filter method. Here is an example using subsidy billing. Similar process can be used for parent or copay billing.
- In the Fee and Schedule form, in the Payer3Period enter Manual for all the children for whom you want to do bimonthly billing.
- Open the Fee Report (Fee Structure Maintenance). Select the Children's Fee Report / Fee Maintenance.
- Using the Data Filter, filter for Payer3Period = Monthly.
- Right-click on the report grid and click on Bill All Different Amounts. The Billing Grid Filter will open.
- In 'Select a Payer' frame select Child's Subsidy.
- In the 'For Filling Fee Column' go to the 'Click a Field to enter in Formula' box. Double-click on AmountPayer3.
- Click on Go To Billing Grid. The Manual Billing Grid will open.
- Enter '1' in Fill Qty and click on Fill Qty.
- In Type of Activity type the line item detail you want in the ledger; for example, "Charges bimonthly 7/2008 period 1".
- Choose Date as the transaction date you want.
- Click on Bill Now.

| My Monthly Attendance Register is opening blank. What to do? And, how can I customize the Attendance Register? |
 | If your Monthly Attendance Register is opening blank then your Hours Per Day Codes (block hours setup) is missing from the database. Do as follows to restore the setup.
- Down the file www.Orgamation.Com/ServicePacks/SP_AddHoursPerDayCodes.mdb and save it in your DCMS9003\Bin folder.
- In iCare go to Tools, Service Applets and click on Run DB Service Packs.
- In the RunDBServicePack window, select SP_AddHoursPerDayCodes.mdb and click on Run ServicePack. Close the RunDBServicePack window.
To customize the block hours definitions (C1 and C2, etc.) do as follows:
- Open the Fee and Schedule form.
- In the Set Up menu click on Hours par Day Rates.
- Change the values in the HoursPerDayCode Categories Grid.
To customize the attendance categories. The standard categories are P = Present, S = Sick and so on.
- Go to System Configuration. Select Children. Click on Child Leave Types.
- Make changes as needed. The instructions are given on the form.

 | - Go to the Main menu and click on Center Setup.
- Click on Edit Data. Enter your Tax ID in the IRS ID# field.

| I entered a wrong payment, how can I fix it? |
 | You can edit or void any AR transaction using the Account Register. The Account Register can be accessed from several places some of which are: - In the Multiple Payment Entry form right-click on the row for which you have to make a correction. In the pop-up window that will open, go to Payments and click on Edit Receivables Ledger (AR).
- The above method can be used from several other reports, such as, the Current Statement and the Payment Listing report.
- In the enrollment form go to the Accounting menu and click on Account Register.
Here are the steps for correcting a wrong payment entry.
- Open the Account Register.
- If the account that you want to correct is not open then use the Find Adult button to find the right account.
- Double-click on the row that you want to edit.
- Make changes and click on 'Save and Post'.
- To void an entry, click on the row and click on the 'X' button.

| Can I print ID Cards for all children in one shot or do I to print them one at a time? Also is there an alternate? |
 | In the iCare version dated June '08 the ID Cards can be printed one child at a time only. This is because this report and just a couple more reports have been set up in code rather than the report maker form. We will try to remove this limitation is a future version. In the mean time, an alternate report that you can print for all children in one shot is the Name Tag report. This report is available through the Authorized Pick-up List as its other view. |
| What can I do if I get the error: "cannot open database; corrupted file"? |
 | You need to call Tech Support at Orgamation for help. In most circumstances we will be able to repair the file using the Microsoft's Access Database Repair Utility program. |
