Orgamation: You can depend on us
Extended Day and After-School Programs Print

As an extended day operator, you may be having thousands of active/enrolled children and families placed in multiple sites. Children may be participating in events at different sites. You may be requiring by-site management and accounting. Your scheduling and billing processes may be unique. If the software can not be tailored to your processes, it is not going to work for you. You simply cannot afford to have people correct or administer bills and schedules one child at a time; the software has to provide batch processing.

iCare Child Care Management Software has been developed with exactly these needs in mind. (The specifications on this page are based on iCareSQL, the version of iCare based on a MS SQL Server database).

What you need

You need management software that will best fit your needs in the areas of:

  • Management by sites
  • Billing procedures and rate charts
  • Scheduling procedures
  • Attendance and security needs
  • Enrollment process
  • Integrated accounting
  • Corporate accounting processes
  • Managerial checks

How iCare will help

Each of the iCare Child Care Management Software modules is richly developed to give you the flexibility and controls you need to properly manage your accounting and daily operations.

Management by Sites: Site management in iCare is implemented throughout most transaction processes and user group security. Children, parents and staff are enrolled by site and their attendance and accounting transactions are recorded by site. You can create reports by site, region or both combined.

Children, Family & Contacts Database: This module provides you with a great set of child enrollment management tools and a clean database that simplifies accounting. Another useful feature you will get is the children’s activities notepad, which can be accessible to parents over the Internet using iCareWeb.

Billing Processes: Many processes have been programmed in iCare to manage different billing rate charts. These processes are either run automatically in the day-ending process or are run through filters and billing grids. Some of the categories of billing procedures are contract billing management, tuition or non-tuition related recurring billing, batch billing process based on almost any report, and block hours and days billing. If a billing process for your rate chart does not exist in iCare, then we can simply add another stored procedure for you.

Accounting: The iCare accounting system is integrated almost fully with the operations side. The system includes many automated posting procedures, single and batch posting processes, payment-hold process, payment-apply process, ledger management tools, parent-friendly statements, printing of the statements by site and an integrated chart of account system.

Attendance and Scheduling: iCare includes the most extensively developed attendance and scheduling features in the market. And, these features are available in both time-based and type-based formats. You can maintain primary, temporary and future schedules, so your data entry work will be done in a timely manner and true projections will be available. Several planning tools are provided, so you can achieve optimal scheduling and organize your staff in the most efficient way. Many methods for automated attendance entry are available – keypad, lobby interface for touch screen monitor, barcode scanner, PDA and signature capture tablet – which are supplemented with a rich set of features to suit your specific needs.

Report Making: iCare provides you the most advanced report making tools in the industry – drill-down, ad hoc reports, exceptional tools for formatting, get all data, email link, Excel link and exporting. Both your users and managers will find marvelous tools in iCare for better control and functionality in less time.
