The Food Menus feature is given free in the Records Manager module. The rest of the Food Program features are integrated with Food Menus, but are only included in the Food Program module.

CACFP Food Program Reporting

The CACFP Food Program is a complete system through which you can produce the paper work for getting reimbursed for the meals served. The key features of the implementation in iCare Child Care Management Software are:

  • Eligibility categories: From a data entry grid, you can maintain the eligibility categories of all the children quickly by just typing P, F and R for paid, free and reduced.
  • Reimbursement rates: You can enter the rates for each type of meal for the different eligibilities, so calculations will be automated and details visible in the food reimbursement report.
  • Up to 6 meals a day: You can maintain 6 types of meals for the day.
  • Different meal times for each program or class: For each meal and each program (class), you can have different meal times. So, your meals served data can be accurate according to how the children actually eat. 
  • Maximum meals allowed per day: Some reimbursement programs allow just 3 or 4 meals in the day, and some children maybe in the center for more meals than allowed. If so, then the meals served data can automatically select the most expensive meals for reimbursement. This allows you to get the maximum reimbursement.
  • Meal count report based on attendance or actual meals served: You can create the Meals Served Report directly from attendance or from actual meals served. Even in the latter case, the Meals Served Form allows you to enter data quickly by reconciling differences between the attendance and the meal roll call sheet.
  • Meal planning: A meal planning report based on scheduled meals for any day in the future is available to help the cook plan the number of meals to prepare.

USDA Food Program - Nutrition and Production Management

The USDA Food Program is a complete system for food production planning. It is built around developing food menus, deciding the serving sizes for each age group and then based on schedules or attendance determine how much food needs to be prepared or should have been consumed.

The Meal Production Report is automatically generated based on your set up of the following features:

  • Food components: Food items are maintained by meal categories. iCare Software comes preloaded with some components, but you can create your own set as well.
  • Age groups and serving sizes: You set up the serving sizes for each food item for each age group and each type of meal. 
  • Purchasing units setup: You would also set up the weight, size or quantity by which each food item is purchased. The shopping list will then tell you how much of each component needs to be purchased according to the trends and scheduled children.
