As a full-featured system, iCare Child Care and edMaster School Management Software handle child care centers' billing with great flexibility, with a full general ledger backbone. Tuition and drop-in care can be billed in weekly, biweekly, monthly, and semester periods, with options available on a per-payer basis. Furthermore, the system can be set up to automatically charge different amounts of a child's fees to father, mother, or third party payers. In this manner, iCare and edMaster let you maintain three separate accounts (for example for divorced parents plus a third party agency), splitting payment for the care of a single child.

Once it is set up, billing runs automatically by being fed data from our attendance module. Parents or teachers can log students in very quickly and easily at keypads, touchscreens, cardswipes or standard monitors. To encourage logging out, variable overtime charges can be applied to accounts, but also forgiven for goodwill. The same time clock feature and hardware logs staff in and out to track standard hours, overtime hours, student/teacher ratios, and optimal staff scheduling. It also inserts the results into reports that are accepted by standard payroll programs.

The system comes with over a hundred standard reports on attendance, account balances and payroll, among others. These reports can be exported to Excel, Word, HTML, and PDF formats as well as can be automatically emailed to parents at scheduled intervals and personalized through our rich mail merge feature. This comes pre-configured with some sample boilerplate text for immunization and medical visit reminders, which can be edited to better suit your program's needs.
